Refund & Cancellation Policy

1. SaaS Subscription Policy β No Refunds
All Appointfy subscription payments are strictly non-refundable. By starting a subscription, you expressly waive any right to a refund for any reason whatsoever, including but not limited to: change of mind, accidental purchase, downgrade, account deletion, partially used billing cycles, unused features, dissatisfaction with the service, downtime, or business closure.
- Final sale: Once a subscription payment is processed by Stripe, it is final. Appointfy does not issue refunds, credits, or exchanges for any subscription tier (Basic, Mid, Pro), any billing interval (monthly or yearly), or any partial period.
- 7-day free trial: New customers receive a 7-day free trial period. To begin the trial, a valid payment method must be provided and a $1 authorization hold (not a charge) is placed for verification, which is automatically released by your bank. If you cancel before the trial ends, you will not be charged. If you do not cancel before the trial ends, your card will be charged automatically and that charge is non-refundable per this policy.
- Cancellation: You may cancel your subscription at any time from your dashboard or billing portal. Your access continues until the end of the already-paid billing cycle and your card will not be charged for the subsequent cycle. No partial or pro-rated refund is issued for the remaining time on your current cycle.
- Yearly plans: Annual subscriptions are charged in full at the start of the cycle and are non-refundable. Cancelling a yearly plan stops auto-renewal at the end of the year but does not entitle you to a refund of the unused months.
- Failed payments & involuntary cancellation: If a recurring payment fails, your subscription may be suspended or cancelled. Reactivation requires a new successful payment, which is also non-refundable.
- Chargebacks: Initiating a chargeback or payment dispute in violation of this policy may result in permanent account termination and recovery of any associated bank fees from you.
2. Appointment Payments β Marketplace Disclaimer
When an end-customer pays for an appointment through the Appointfy booking page, that payment is processed through Stripe Connect as a direct charge from the customer to the Service Provider's (Salon/Barber/Clinic) own Stripe account. Funds never enter Appointfy's control or custody. Appointfy is solely a technical facilitator and is not the merchant of record for these transactions.
- Appointfy is not a party to the service contract: The service agreement is exclusively between the end-customer and the Service Provider. Appointfy does not sell, deliver, guarantee, or insure the booked service in any way.
- No refund obligation by Appointfy: Appointfy does not issue refunds for appointments under any circumstance, including but not limited to: no-shows, cancellations, late arrivals, poor service quality, hygiene complaints, scheduling errors, miscommunication, language issues, or the Service Provider closing or going out of business.
- If the service is not delivered: If the customer pays but does not receive the service for any reason, the customer's sole remedy is to contact the Service Provider directly. The Service Provider, at its own discretion and policy, may issue a refund through their Stripe account. Appointfy has no obligation, authority, or technical ability to compel the Service Provider to refund.
- Disputes & chargebacks: Customers who cannot resolve a dispute with the Service Provider may file a chargeback with their card issuer. Such chargebacks are handled between the cardholder, the card network, Stripe, and the Service Provider. Appointfy is not financially liable for the disputed amount, related Stripe fees, or any related cost.
- Application fees / commission: Appointfy may collect a platform commission (application fee) on each appointment payment. This commission is for use of the booking platform and is also non-refundable, even when the underlying transaction is refunded by the Service Provider or reversed via chargeback.
- Service Provider responsibility: Service Providers are solely responsible for honouring their advertised services, complying with consumer protection laws applicable to their business, handling refund/cancellation requests from their customers, and resolving any disputes that arise.
3. Customer Acknowledgement
By making a payment through Appointfy β whether for a SaaS subscription or an appointment via Stripe Connect β you acknowledge that you have read, understood, and agreed to this Refund & Cancellation Policy in its entirety, and that you accept all the limitations, waivers, and disclaimers set forth above.
